Archiving beyond email: There’s more you can do

Most of my day is spent helping customers research, choose, and implement an email archiving and journaling solution. Once in place, email archiving solutions provide organizations with a number of notable benefits, including the ability to:

  • Actively move messages off the mail server and into the archive, reducing the storage requirements on those servers.
  • Capture and store 100-percent of messages sent and received in the journal archive.
  • Perform cost-effective, efficient discovery of data.

Once organizations get a taste of what archiving can do for email, they quickly think about how they can leverage the solution for additional data types. The next logical and most common data type to address is Windows file shares. Creating and enabling a single rule that archives all files that have not been accessed in two years or more typically results in a storage reduction on your file servers of 70-percent or more. You just reduced your tier 1 file system storage by 70-percent. You reduced the backup and recovery times on your file servers just as you did on the email servers. And, every file that you archived is now indexed and discoverable by the same tool your attorneys use to perform discovery on your mail data.

Let’s not stop there, what about your SharePoint sites? What about your Instant Messaging traffic? Do you have social media that needs to be archived, indexed, and discoverable? A single archiving solution with the necessary options and licensed features can simply expand to address much more than your e-mail. Leveraging each IT investment to the max is the name of the game.
